A 1-hour year-end review sheet: pull the numbers, answer 5 questions, rank your top and bottom 10 posts, pick 3 themes for 2027, set a Q1 target and a 90-day calendar.

At the end of the year it is common to feel you posted all year and still do not know what worked. This is a review sheet that takes 1 hour, uses only your own account numbers and needs no extra tools. At the end you have 3 things to continue in 2027 and a 90-day calendar.

Key takeaways

  • Set 1 hour in 5 blocks: pull numbers, answer 5 questions, rank posts, pick themes, build the calendar
  • Pick only 3 themes for next year: one to continue, one to adjust, one to drop or test
  • Set a Q1 target from your own numbers, not someone else's

NoteChecked Oct 2026

Menu names and metrics in each app, such as Instagram Insights, can change by version, so this article uses broad names; look for the matching name in your own app. Official details are in the Instagram, TikTok and Facebook help centers. Past data in each app is kept for a limited time, so pull your numbers before the year ends.

If you have no numbers yet because you just started, read the first 30 days content plan for a new shop first.

Get ready before the hour starts

The sheet really takes 60 minutes if you prepare first: open the 3 apps, have an empty spreadsheet and silence notifications.

TipThe last number matters most

Sales or chats from each platform come from your shop back office or notebook, not from the social apps. If you did not record them this year, estimate, label it as an estimate and start recording next year.

Weekly reading of numbers is covered in read social analytics to decide where to invest. This article uses the same numbers across the whole year.

5 review questions

Answer in 1 or 2 sentences each, straight into the sheet.

  1. Which post was seen by the most people, and why do you think so

Look at the topic, format and timing. Do not rush to conclude, just note observations.

  2. What made people save, share or message you

These show real usefulness more than likes do.

  3. Which month dropped, and what happened then

For example you paused, were ill, posted less, or repeated the same content.

  4. Which content took the most time for the least result

These are candidates to drop or reduce.

  5. If you could do only one thing next year, what is it

This answer feeds the theme choice below.

ExampleInvented example: a handmade snack shop

Q1: morning baking clips are seen more than single product photos almost every time. Q2: price and how-to-order posts get many saves. Q4: quote posts take long to make and bring no messages. The shop is invented, not a real customer, and has no real numbers.

Rank your top and bottom 10 posts

Pick one main number for ranking, such as people reached or saves, and use it for every post. Then list the top 10 and bottom 10.

Top 1 to 10

Bottom 1 to 10

Ask yourself after ranking

Do not conclude from one post. If one is unusually high, check for a special reason such as a repost or a festival. All the key dates are in the 12-month content calendar.

Pick 3 themes for next year

A theme is a main story you tell all year, not a list of posts. Pick 3 and write each in one sentence.

Set a Q1 target you can measure

A good target has a number, a deadline and a way to measure. If you have no number from this year, use the latest month as the base and set a realistic increase.

Quarter target formula

By {end of quarter date}, move {metric} from {current value} to {target value}, measured from {page to check} every {check day}

ExampleInvented example

By 31 March 2027, raise the average saves per Instagram post from {latest month value} to {target value}, measured from Insights every Sunday. Fill the braces with your own account numbers.

Before setting a target, note what to avoid.

WarningTargets to avoid

Targets copied from others, such as matching a famous shop's followers, or ones without a measure, such as get known more, make it impossible to say at the end of the quarter whether you succeeded.

A 90-day outline

The first 90 days do not need every post. Lock the frame: one theme per month, posts per week and key dates to prepare.

FAQ

When should I do the year-end review

Anytime from late December to early January, but do not wait too long because some past data in the apps has a limited lifetime. Pull and save your numbers first.

Can I use this sheet if I started a few months ago

Yes. Use what you have and review quarterly. Do not read too much into very little data.

Do I need to review every platform

No. Start with the platform you post on most steadily or that brings buyers. Use only the 3 main numbers for the rest.

If followers did not grow all year, did I fail

Not necessarily. Check whether people saved, messaged or bought more. Followers are one number among many.

Should I set a followers target

You can if it is measurable and has a reason, but pair it with a target closer to sales, such as the number of messages.

Summary

Review the year in 1 hour: pull numbers, answer 5 questions, rank top and bottom 10 posts, then pick 3 themes and one measurable quarter target. The 90-day calendar is the last step that makes the sheet usable.
